What we store
- Your practice: its name and state, the email address if you give one, a coded (hashed) form of your private link, and the dates of your monthly checks.
- Your people and vendors: the names you add, any other last names, and any role, NPI and state you give. A date of birth is never stored as written: it is replaced by a keyed fingerprint (an HMAC) before it reaches the database, and only that fingerprint is compared with the lists.
- Sign-in: for each device signed in, when it signed in and was last used, and a rough label such as "Chrome on Windows". Sign-in codes and the device cookie are stored only in coded (hashed) form, and a code stops working once used or after 10 minutes.
- Your check records: each monthly record, with the names checked, the result for each, the lists used, and any decisions you saved (with the name and note you typed).
- Billing: your plan, its status, and Stripe's customer and subscription IDs. Stripe handles your card; we never see card numbers.
- The free name check: the name and NPI you type are used to answer that check and are not stored. We count only how many checks ran each day.
- Visit totals: daily counts of page views, name checks, sign-ups and checkouts, with the site that sent the visit. They contain no IP address, email, browser details or ID, so nothing in them identifies anyone.
Cookies and tracking
The only cookie is the sign-in cookie on your practice page, set when you sign in and used for nothing else. We use no analytics or advertising trackers and sell no data.
Where it is kept and who receives it
- Cloudflare hosts the site and the database, so it handles every request.
- Stripe processes payments. If you gave an email, it is passed to Stripe when you subscribe.
- Resend (resend.com) delivers our emails, if you gave an address. The monthly email carries counts only, never staff names.
How long we keep it
Everything is kept while your practice's account is open, and deleted on request. When you remove someone from your list, they are left out of future checks; past records keep the names they checked, so a record is never altered after the fact. Stripe keeps payment records under its own policy.
Deleting your data
Email bryan@tryneverclosed.com from your practice's email address and we will delete your practice, its list and its records.
